EXECUTIVE DIRECTOR, NEWPORT BEACH, CA

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Core duties and responsibilities include the following. Other duties may be assigned.
  • Leads the center with operating team within agreed timelines and budget, while developing and gaining approval to annual business plan for center including: annual surgical volume/revenue/budget/profit projections and running day-to-day operations of the center.

MEDICAL RECORDS COORDINATOR – NEWPORT BEACH, CA

This position will act as the first point of contact for all patients in a high traffic medical office.  Duties include phone management, initial screening of calls to determine information that is needed, confirming and rescheduling appointments.  The position will be responsible for coordinating patient files and ensuring that proper documentation is in each file.  They will be an intricate part of the flow of the center and responsible for making sure that each patient is seen in a timely manner.

Essential Functions

  • Pulling charts for the centers patients
  • Request/manage charts coming to/from storage
  • Communicate with other departments on a daily basis (call center, other locations)
  • Retrieving / distributing faxes
  • Faxing charts on a daily basis
  • Contribute to team effort by accomplishing related tasks as needed by volunteering to help others when own work is complete or in urgent situations.

Qualifications

All qualified candidates must have a high school diploma or GED equivalent with 1-4 years’ experience in a sales/medical office environment.  They should possess excellent communication skills and be proficient with standard office equipment, including personal computers and Windows-based software (including word processing, PowerPoint, databases and spreadsheets).  Candidates should be able to multi task comfortably and have ability to work with a high degree of professionalism.

FINANCIAL ADMINISTRATOR, NEWPORT BEACH, CA‏ 

This position is primarily responsible for the day to day financial aspects of a busy Ophthalmology practice. The position will be responsible for overseeing and completing all financial/accounting responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Oversee two (2) staff members that work directly with the patients to take payment for office visits and procedures.
  • Oversees daily deposit report and weekly email confirmations.
  • Insurance verification for various office visits and procedures, providing the information to necessary staff members (may include some insurance billing).
  • Records fee’s in patient management system.
  • Oversees supply and equipment management.
  • Compiles and sorts documents, such as invoices and checks, substantiating business transactions.
  • Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases.

CALL CENTER MANAGER – NEWPORT BEACH, CA

We are seeking qualified candidates with the education and Call Center Sales & Operations Management experience to devise and execute customer service programs; strategize call center sales and marketing plans through leadership and analytical ability, delivering results and goal attainment while improving the customer’s experience.  The successful candidate will have a strong Call Center Sales and Operations background, preferably in the Healthcare services industry.  The role of the Call Center Manager will be to work closely with Sales Management to create a vision and execution plan and then implement our company’s call center customer service and marketing efforts.

ESSENTIAL FUNCTIONS

  • TELEMARKETING OPERATIONS: Results driven management style that is “customer-centric.”  Will have direct staff recruiting and termination responsibility, department budget oversight, payroll management responsibilities.  This role also has daily operations, work priorities and telemarketing call center management responsibilities in which the customer service and sales productivity metrics and goals must be met.  Hands-on monitoring of Inside Sales Reps and Customer Service Agents and service techniques. Fosters teamwork, motivates and coaches all associates to create a winning team. Determines call center operational strategies by conducting needs assessments, performance reviews, capacity planning, and cost/benefit analyses;  identifying and evaluating state-of-the-art technologies; defining user requirements; establishing technical specifications, and production, productivity, quality, and customer-service standards.
  • STRATEGY & IMPLEMENTATION:  Collaborate with Sales Management for creating plans for integrated selling of clinical service lines to customers and creating effective customer service programs.  Responsible for sales and contact database analysis, implementation of integrated sales and marketing strategies to maximize rate of return and closing per sale, while providing the best solutions and service appropriate for each customer.  Responsible to optimize lead generation from start to finish through collaboration with multiple departments and department managers to maximize rate of return and revenue. Must have expert skills in sales and marketing, telemarketing customer service training techniques, project coordination, excellent communication and implementation skills, including articulating findings of collected call center data, hypothesis and proposal presentations of how to maximize efficiencies and rate of return to guide strategy.
  • TECHNOLOGY AND BUSINESS INTELLIGENCE:   Effectively leverage information technology to standardize appropriate performance metrics, reports, dashboards and other tools.  Build meaningful business intelligence to guide executive team on integrated sales and marketing decisions and marketing channel strategies for customer activations and revenue generation.  Develops call center systems by advising on new technology implementation and/or reworking current technology, equipment and software for best efficiencies.  Collaborate with IT to maintain equipment by evaluating and installing equipment as needed and developing preventive maintenance programs.

EDUCATION:

Bachelors Degree minimum in a related field such as Business, Marketing or Advertisement or equivalent work experience.

EXPERIENCE:

  • 5+ years Sales, Marketing for a Call Center, Telemarketing Center required, preference for experience healthcare services industry.
  • Program development and management of telemarketing initiatives involving: Sales, Customer Care, Lead Generation, Response Management, Performance Improvement.
  •  Telemarketing legislative compliance as it relates to federal and state DNC as well as HIPAA requirements.

FRONT DESK RECEPTIONIST – SACRAMENTO, CA

  • Prepare office for opening, includes: printing out the daily schedules, preparing charts, refill literature trays and prepare lobby area for patients.
  • Greet and welcome patients at their arrival and collect all paperwork from the patient.
  • Assemble new patient charts and communicate with office staff when their patients arrive.
  • Act as the main liaison between staff and the patients to ensure that each patient is taken back in a timely manner.
  • Confirm all consultation appointments for the following day.  Re-schedule patients as needed.

Clinical Director – Newport Beach

This position is primarily responsible for working in conjunction with the executive director and is responsible for the leadership of the specific NVISION Center with ensuring patient care remains at the forefront of all activities and overseeing professional relations in the community by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Leadership of all clinical aspects of center to ensure best patient care:

    • Sets/implements the clinical standards of care for the center, including, but not limited to:  operating practices & procedure, incident tracking/reporting, quality maintenance, surgical protocol, updating medication protocol, patient and occupational health and safety.
    • Standards to be consistent with those defined by NVISION corporate office.
    • Ensures all NVISION staff, including technicians, are properly trained and execute against these standards.
    • Interacts with center’s surgeon to ensure full communication between the surgeon and the staff in areas of surgical protocol, patient management and medication schedule.
    • Performs pre and post- operative care for patients at own center and assist doctors with pre and post-operative care when complications arise.
    • Follows-up with comanaging/referring doctors regarding patient status and results.
    • Develops/implements Clinical Education courses and seminars, also assist surgeons with roundtable discussions for doctors and staff (utilize marketing department as necessary).
    • Educates doctors in all aspects of refractive surgery to ensure proper co-management.
    • Tracks surgical outcome with datalink resource to develop precise nomogram for each surgeon.
    • Defines and reports any clinical incidents as necessary.
    • Identifies sources of clinical incidents and implement protocol to prevent further occurrences.
    • Builds network with Level 3 surgeons for open access when appropriate.
    • Facilitates communication between all NVISION centers and their clinical directors so that consistent patient care is achieved at all NVISION centers.
    • Attends clinical director meeting and/or conference calls to be aware of any pertinent issues.
    • Reports to regional clinical director as necessary.
    • Attends necessary academic courses to stay in the forefront of refractive surgery technology/developments

Professional Relations Marketing:

  • Develops and implements Optometrist/Medical Director strategy for center.
  • Recruits Optometrist/Medical Doctor’s for co-management with NVISION.
  • Monitors marketing areas and recommend necessary changes to the Professional Relations Strategy.
  • Interacts with Professional Relations Consultant of the center in a productive and efficient manner to augment professional marketing activities, including lunches, dinners, and advisory board meetings.
  • Communicates with Advisory Board, assist in organizing quarterly Advisory Board meetings and assist in identifying issues for the meetings.
  • Ensures open communication between the Center and co-managing doctors at all times regarding patient care, patient outcome.
  • Develops Optometrist/Medical Doctor territories and implement Optometrist/Medical Doctor office visits working closely with the Professional Relations Consultant.
  • Informs doctors of any changes to the Center’s medication or surgical protocol.
  • Analyzes and communicates NVISION clinical results to affiliates/doctors through appropriate venues.
  • Has a membership in and participates in state and local Optometric professional meetings.
  • Monitors the results of the Professional Relations coordinator’s efforts.
